Hotel Accommodation

Hotel accommodation for Meeting participants has been block-booked by the ADB Secretariat and will be handled by INTERCOM Convention Services.

ADB Member delegations are required to channel their requests through the ADB Board of Directors and for those member countries with no representation in the Board of Directors, directly through the ADB Secretariat.

Accredited Observers from countries and international organizations requiring hotel accommodation are requested to complete the hotel booking form which can be accessed when registering online (see Registration).

Requests should be submitted no later than 10 April 2004 to secure hotel accommodation. Bookings not confirmed by this date will be released by the hotels. Requests for suites should clearly indicate the number of bedrooms required (one or two) in addition to the sitting room.

Guests, Media, and NGOs should make their reservations directly with INTERCOM.

To guarantee the hotel reservation, all participants are requested to deposit the amount equivalent to one night's room cost or provide credit card details (credit card type and number, card holder's name, expiration date).

Check-In and Check-Out Times

As the check-in time is normally 2:00 p.m., participants with early morning arrivals should take the precaution of booking for the night prior to arrival. The check-out time is normally 12:00 noon.

Change, Cancellation, and No-Show

Requests for changes in the arrival dates or cancellations of reservations should be sent immediately, in writing (including e-mail), at least 7 days prior to the confirmed date of arrival.

  1. For delegates from member countries, requests should be sent to the ADB Board of Directors and for those member countries with no representation in the Board of Directors, to the ADB Secretariat.

For cancellations, refunds will be provided according to the following refund policy, depending on when a cancellation is notified:
7 nights before the check-in date 100% refund
Between 6 and 3 nights before the check-in date 50% refund
2 nights before the check-in date No refund

A no-show policy equivalent to one night's room cost will be charged if the suite/room is not occupied on the arrival date for which it was confirmed. Rooms will be held for late arrival, at the delegates' expense, until the check-out time of the day following the confirmed arrival date and then released.

Delegates with outstanding "no-show" accounts from previous meetings must clear their charges before requesting reservations for the 2004 Annual Meeting.

Settlement of Accounts

Before departure, delegates should fully settle their accounts directly with the hotels, including charges for accommodation, fax, telephone calls, room service, laundry, etc.
