Title: Administrative Assistant
Department/Division: Papua New Guinea Resident Mission (PNRM)

1. IMMEDIATE REPORTING RELATIONSHIPS:

One professional staff/two national officers

2. JOB PURPOSE:

To perform a full range of secretarial duties for the assigned officers, including organizing and maintaining records, contact with the public, preparing correspondence and reports, assistance for visiting ADB missions and other appropriate functions as required; coordinate administrative activities for PNRM.

3. EXPECTED OUTCOMES:

Mail/Written Communication/Follow-up
Ensures that all correspondence and documents for supervisors are correctly typed, prepared and submitted on time in compliance with ADB’s standard.

Ensures all the incoming mails are logged, properly distributed and brought to the attention of concerned staff, and that outgoing mails/faxes are delivered on time.

Oral Communications/Internal & External Contacts
Provides efficient reception services by screening incoming telephone calls, taking accurate messages, dealing with queries from internal/external calls to ensure they are referred in a timely manner to the concerned staff.

Calendar/Travel
Ensures the effective coordination of supervisors’ schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by supervisors in accordance with ADB procedures.

Office Administration
Ensures the office filing systems and records are properly maintained and updated in accordance with an existing framework for easy retrieval.

Relieves other Administrative Assistants when they are absent, as required.

Others
Performs any other duties as may be required, such as retrieving files/documents for preparation of reports, preparing tables and charts for reports, assisting ADB visiting missions, and other routine office administrative functions.

5. KEY RELATIONSHIPS
a. Supervisor
  Designated PS
Work planning, performance feedback, results assessment, and personal development.
b. Internal Clients
    Follow-up actions, coordinates/arranges meetings/schedules; knowledge sharing, information dissemination, deals with queries and refers to concerned staff; prepares mission authorization; etc.
c. External Clients
 
Efficient reception services, releases outgoing mails/faxes, takes accurate messages, attends to visitors; etc.

6. EDUCATION REQUIREMENTS:

Bachelor’s degree

7. RELEVANT EXPERIENCE AND OTHER REQUIREMENTS:

Suitability to undertake the responsibilities mentioned above at the required level.

At least three years of work experience in a private or public organization prior to joining ADB.

Good typing skills; good knowledge of stenography preferred but not necessary.

Good computer skills with sound knowledge of common word-processing, spreadsheets and graphics software used in ADB.

Ability to work with individuals from different cultural/national backgrounds; good interpersonal and communication skills.

Ability to manage priorities and workload within general schedule of work, instructions and standardized practices.

Ability to work with minimum supervision, and maintain composure under pressure.

Familiarity with local languages and institutions.

The advertised position is a local staff position with a local remuneration package. It is open only to persons who are nationals and residents of Papua New Guinea. While the position advertised is for Papua New Guinea Resident Mission (PNRM), ADB staff must be prepared to serve in any location outside the Resident Mission at the discretion of Management.
