Title: Senior Operations Assistant
Department/Division: Private Sector Operations Department (PSOD) / Infrastructure Finance Division 2 (PSIF2)

1. IMMEDIATE REPORTING RELATIONSHIPS:

Head, Project Administration Unit (PAU) or Director.

2. JOB PURPOSE:

To provide statistical and analytical support services for various activities relating to processing and administration, and other administrative functions to PAU Head or Director.

3. EXPECTED OUTCOMES:

Project Processing
Under guidance of Associate Operations Analyst, reviews and updates Project Processing Information System (PPIS) database for PSIF-2's loan and technical assistance (TA) projects under processing, including milestone events of firm and standby loans and TAs under processing and programmed.

Ensures that updates to the PPIS are accurate and appropriate; monitors progress and status of activities of loan and TAs under processing; and downloads the PPIS reports on regular basis for use by Director and by PAU Head.

Monitors submission of concept papers for proposed loan and TA projects, and consolidates proposals.

Project Administration
Assists in the administration of loan and TA projects, from the TA Consultation selection process, processing of claims, and preparation of TA Completion Reports.

Creates and updates TA Performance Reports.

Prepares and updates regular reports on status of TAs under implementation.

Administrative Functions
Provides administrative assistance to PAU Head or Director.

Assists in handling day-to-day routine functions in support of PAU.

Assists in the development and maintenance of the documentation, databases, and computer requirements.

Provides back-up support to the Senior Project Assistant in the latter's absence.

Others
Performs other tasks as may be assigned by Director and PAU Head.

5. KEY RELATIONSHIPS:
a. Supervisor
  Head PAU or Director Work planning, performance feedback, results assessment, and personal development
b. Internal Clients
   Update of PPIS database for loans and TAs; monitor status and progress of activities of loan and TA projects under processing; administer loan and TA projects; prepare and update regular reports on status of TA under implementation; etc.
c. External Clients
   Create and update TA Performance Reports, etc; efficient reception services; takes accurate messages.

6. EDUCATION REQUIREMENTS:

Bachelor degree, preferably in Economics, Finance, Business Administration or Statistics

7. RELEVANT EXPERIENCE AND OTHER REQUIREMENTS:

Suitability to undertake the responsibilities mentioned above at the required level.

5 years of work experience

Good computer skills in word processing, spreadsheets, graphics software, and software products like PPIS and Loan Financial Information System.

Excellent oral and written communication skills, and good analytical thinking.

Good interpersonal skills and ability to work with individuals from different cultural/national backgrounds.

Ability to set priorities and manage workload, and work with minimum supervision.
