Title: Senior Institutional and Administrative Legal Assistant
Department/Division: Office of the General Counsel (OGC)

1. JOB PURPOSE:

The position is primarily responsible for providing administrative and paralegal support for the Office's institutional and administrative work under the supervision of the Deputy General Counsel and the guidance of the Principal Counsel in the Institutional and Administrative Special Practice Group.

2. EXPECTED OUTCOMES:

Conducts a variety of administrative and paralegal tasks under the direction of counsel.

Conducts basic research on assigned issues, using existing law files and alternative sources (e.g. computer-assisted searches using the internet, intranet or other databases), analyzes information and summarizes findings.

Assists in the preparation of documentation for pleadings before the Appeals Committee and the Administrative Tribunal.

Performs all administrative functions associated with the work of the Institutional and Administrative Special Practice Group.

Reviews existing systems for recording of pleadings and decisions, makes recommendations to improve such existing systems, and oversees maintenance of revised systems.

3. EDUCATION REQUIREMENTS:

Bachelor's degree, preferably in personnel administration, law, social sciences, or other relevant field of study.

4. RELEVANT EXPERIENCE AND OTHER REQUIREMENTS:

Suitability to undertake the responsibilities mentioned above at the required level.

At least 5 years relevant work experience.

Proficiency in multilateral organization's standard software applications required (i.e. sound knowledge of MS Word, Excel, PowerPoint and Lotus Notes). Familiarity with multilateral organization's database systems is an advantage.

Excellent typing skills; ability to transcribe material dictated orally and to operate transcription devices.

Excellent writing skills, including good memo composition, editing and proof-reading skills.

Ability to maintain confidentiality of information.

Ability to work to meet rigid deadlines while maintaining high-quality output.

Ability to work with limited supervision.

Ability to work with personnel from different cultural backgrounds.

Good interpersonal and communication skills.
