Title: Logistics Management Assistant
Department/Division: Office of Administrative Services (OAS ) / Institutional Services Division (OAIS)/Logistics Management Unit (OAIS-LM)

1. JOB PURPOSE:

To provide support in the administration of logistics management-related matters and other various requirements of the unit.

2. EXPECTED OUTCOMES:

Logistics Management-related Activities
Coordinates with different OAIS-LM sub-units to finalize the monthly work status reports, budget utilization reports, overtime summary reports, and other required reports. Ensures accuracy of staff time recording in accordance with budget allocations, by maintaining, monitoring and verifying submitted attendance/leave records and overtime requests in the unit. Ensures deadlines are met by coordinating with the sub-units and by following-up as needed. Handles the unit office supply requisition and monitors use.

Office Administration
Provides clerical support to Head, OAIS-LM. Coordinates activities of the various sub-units. Maintains and updates the unit's hard copy and electronic folders and files in accordance with ADB's Subject File Classification Guide procedures and eStar. Ensures that all correspondence and documents for the supervisor are properly composed and submitted on time. Composes routine correspondence. Ensures that all incoming documents are recorded and forwarded to the supervisor, and all outgoing documents are properly recorded and promptly dispatched to concerned staff for appropriate action.

Communication and Contacts
Assists with receiving visitors and telephone communications. Handles internal/external queries for OAIS-LM and refers queries to concerned staff for proper action.

Administrative Support
Maintains attendance/leave rosters of staff and conducts periodic reviews of sick leave, absences, poor attendance, tardiness, etc. in the unit. Serves as administrative staff IT and website coordinator for the unit. Coordinates supervisor's schedules by maintaining calendar, arranging appointments, meetings, travel and accommodation in accordance with ADB procedures.

Others
Performs any other duties as may be required by the immediate supervisor.

3. EDUCATION REQUIREMENTS:

Bachelor's degree

4. RELEVANT EXPERIENCE AND OTHER REQUIREMENTS:


Suitability to undertake the responsibilities mentioned above at the required level.

3 years experience.

Working knowledge of multilateral organization's policies, guidelines and procedures related to the area of logistics management.

Working knowledge of office administration.

Working knowledge of multilateral organization's adopted computer applications.
