Job Purpose:
Performs a full range of secretarial duties for three to four International Staff. Provides clerical support to various areas of TDID’s investment operations.
Expected Outcomes
Mail/Written Communication/Follow-up
Ensures that all correspondence and documents for supervisors are properly typed, prepared, submitted on time and in compliance with ADB's standards.
Ensures all the incoming mails are logged, properly distributed and brought to the attention of concerned staff, and that all outgoing mails/faxes are delivered on time.
Oral Communications/Internal & External Contacts
Provides efficient reception services by proper screening of incoming telephone calls, taking accurate messages, dealing with queries from internal/external callers to ensure they are referred in a timely manner to concerned staff.
Calendar/Travel
Ensures the effective coordination of supervisors' schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by the supervisors and in accordance with ADB procedures.
Data Gathering, Analysis, and Report Generation
Utilizes various front- and middle-office systems to extract Treasury portfolio data and produce TDID’s internal reports. Investigates and initiates necessary actions to adjust and rectify discrepancies noted during report preparation.
Operational Support
Ensures the efficient handling and delivery of investment transaction documents to concerned units.
Office Administration
Contributes to personnel and office administration by performing such duties as maintenance of office filing systems, leave administration, attendance coordination, and maintenance and requisition of office supplies.
Others
Performs any other duties as may be assigned and reflected in the incumbent’s work plan.
Educational Requirements:
Bachelor’s degree in banking, finance, business administration or other related fields.
Relevant Experience And Other Requirements:
Work experience
• Suitability to undertake the responsibilities mentioned above at the required level.
• At least 5 years experience in a private or public organization prior to joining ADB
Technical knowledge
• Basic understanding of financial markets and treasury operations.
• Good typing skills. Good memo composition and editing skills. Good computer skills.
• Familiarity with computer systems used generally in multilateral organizations.
