This vacancy is a local staff position. It is open only to nationals and residents of Nepal.

The position is assigned to Nepal Resident Mission (NRM), South Asia Regional Department (SARD) to coordinate specific administrative and financial managements requirements to the Nepal Resident Mission (NRM).

Job Purpose

To perform secretarial and clerical duties for Nepal Resident Mission (NRM), including organizing and maintaining records, contacting with the public, preparing correspondence and reports, assisting in visiting ADB missions and other appropriate functions as required. The incumbent will report to a designated International Staff (IS) and senior National Staff.


a. Mail / Written Communication / Follow-up

  • Ensures that all correspondence and documents are correctly typed, copied or printed out and submitted on time in compliance with ADB standard;
  • Ensures that all incoming faxes and mails are logged, properly distributed and brought to the attention of concerned staff, and that outgoing mails/faxes are delivered and dispatched on time.

b. Oran Communication / Internal and External Contacts

  • Provides efficient reception services such as screening incoming telephone calls, taking accurate messages, dealing with queries from internal/external calls and ensures that these are referred in a timely manner to concerned staff.

c. General / Office Administration and Logistics

  • Ensures that office filing system and records are properly maintained and updated in accordance with existing framework for easy retrieval;
  • Assists in retrieving files and documents for preparation of reports;
  • Ensures that publication articles selected by NRM officers are properly copied and disseminated to concerned staff;
  • Undertakes photocopying and printing tasks;

  • Provides logistical assistance to ADB missions;
  • Assists in logistic and administrative arrangements related to setting up workshops, seminars and conferences organized by the NRM/HQ;
  • Performs other duties as required and reflected in the incumbent's workplan.


Relevant Experience & Requirements

  • Bachelor's degree in Business Administration or Accounting or Commerce or any other fields;
  • At least 5 years of relevant work experience; related experience in international agencies will be preferred;
  • Demonstrated knowledge and understanding of ADB operational processes and procedures;
  • Proficiency in operating microcomputers and using ADB software packages, for performing word processing, spreadsheets, graphics and database applications;
  • Able to liaise and work effectively with staff within own work location and throughout ADB;
  • Able to work collaboratively with teams as a constructive team member;
  • Ability to establish and maintain productive contacts with appropriate officials of host government, donor agencies and executing agencies and others;
  • Good interpersonal and communication skills are desirable;
  • Ability to work with individuals from different cultural/national backgrounds;
  • Very good oral and writing English communication skills;

General Considerations

The selected candidate is appointed for an initial term of 3 years.
